Scent Bar Event Policies
Please review the following policies before booking your Read Fragrances Scent Bar Experience. They outline important details regarding retainers, guest counts, payments, cancellations, rescheduling, and travel so you can plan your event with clarity and confidence. By confirming your booking, you acknowledge and agree to these terms.
Booking & Retainer
To ensure availability, we recommend booking your Scent Bar Experience at least three to four weeks before your event date.
A non-refundable retainer equal to 50% of the total service fee is required to reserve your event date. The retainer will be applied toward your final balance. Payment may be made by credit card, debit card, or wire transfer.
Additional guests, customizations, tables, rentals, travel, and other services are not included in the base package unless expressly stated in your proposal. All requested additions will be reflected in your final quote.
Final Guest Count
Your final guest count must be submitted no later than ten days before the event.
Although your Event Manager may provide a reminder, the client is responsible for submitting the final count by the deadline. Once confirmed, the guest count may not be reduced. Requests to add guests will be subject to availability and additional charges and cannot be guaranteed.
For the best guest experience, we recommend positioning the Scent Bar away from food and beverage stations to prevent food aromas from interfering with the fragrance experience.
Final Payment
The remaining balance is due no later than ten days before the event. Services will not be provided until payment has been received in full.
Failure to submit payment by the deadline may result in cancellation of the booking. If the event is canceled due to nonpayment, the retainer will be forfeited.
Client Cancellations
All cancellations must be submitted in writing.
The initial retainer is non-refundable. If the client cancels after the final payment has been made, payments received will not be refunded due to the preparation, staffing, inventory, and customization required for the event.
At our discretion, eligible payments may be transferred to a rescheduled event taking place within six months of the original event date, subject to availability and any applicable rescheduling fees.
Rescheduling and Force Majeure
If the event cannot take place because of circumstances beyond either party’s reasonable control—including severe weather, government restrictions, public health emergencies, natural disasters, or venue closures—the booking may be transferred to a new date occurring within six months of the original event date, subject to availability.
Payments will not be refunded, but eligible amounts will be applied to the rescheduled event. Additional expenses resulting from the new date, location, travel arrangements, or updated event requirements will be the client’s responsibility.
Travel and Out-of-Area Events
Base pricing applies to events held within Los Angeles County, California.
Events outside Los Angeles County are subject to additional expenses, which may include airfare, accommodations, ground transportation, mileage, shipping, insurance, permits, per diem, and other event-related costs. A custom quote will be provided for all out-of-area events.
